Ask any base manager which day decides the season, and most say Saturday — turnaround day. One group leaves in the morning, the boat must be cleaned, checked, and prepared, and a new group arrives in the afternoon, often with only a few hours in between and several boats turning over at once. Here is how to make it calmer.
Use the same checklist every time
The biggest cause of mistakes is “everyone does it their own way.” A standard digital checklist for each boat means every step is done the same way — by your most experienced skipper or by a crew member in their first week. Nothing depends on memory, and every completed step is traceable afterwards.
Make boat readiness visible
During turnaround, the most valuable thing is a clear answer to one question: which boats are ready, and which are not? When readiness is visible to the whole team in real time, nobody wastes time calling around, and the manager can send help exactly where it is needed. In Atlas, boat readiness updates live across all bases as the crew works through the checklist.
Prepare extras with the turnaround
Extras — SUP boards, a dinghy engine, provisioning — are easy to forget in the rush. When the extras a guest ordered are tracked alongside the checklist, the crew knows exactly what must be on board before the guests arrive, and nobody is driving back to the office at four o’clock.
Move work off the busiest hour
Some of the handover does not need your crew standing there. Once guests are onboard, they can go through their own pre-check in the guest app at their own pace and flag anything they want to ask about, so the crew-led check-in is shorter and focused on what really needs a person. Track any issue with a photo and a note, so the same small problem does not come back week after week.
Give crew tools in their pocket
Your crew is moving around the boat, not sitting at a desk. Checklists, tasks, messaging, and boat status should live on a phone, updated in real time so the office and the base see the same picture without a single phone call. Group chats cannot do this: a message scrolls away, but a task stays open until someone finishes it.
